General business terms & conditions:
Sampling & Courier Cost:
- Always send 1st PP sample x3 pcs each colour
- 2nd PP sample if required (if 1st samples are not good )x2 pcs each color –Ruhrose Ltd will not pay for 2nd or 3rd resub, courier cost may consider to pay by Ruhrose ltd.
- Shipment sample from bulk 1st before shipping – there will be no payment for this, and courier cost be paid by factory/Ruhrose depending on agreement.
Sample submission delay:
- Always give sample submission plan considering all circumstances - like material arrangements, national holidays , weekend, clarification on design, missing documents etc
- You must strictly maintain the given date and dispatch samples in agreed date without chasing & always avoid last min surprise and excuses.
- It’s your responsibility to check all the details and follow up and clear any confusions, questions, missing data, colour code, material availability etc and give submission date accordingly.
- However, if there is any reason you cannot maintain the given date, please let us know well advance at least 4 UK working days before with proper explanations.
- If you fail to dispatch samples on promised date without proper valid logical reason, 50% of sample cost will be deducted after 7 calendar days of delay.
- you delayed by 10 days, you will be paying the sample cost at your side and no payment will be given for those samples, and you will do Express super-fast courier at your cost.
Payment:
- Sample & Bulk Payment: As agreed above
- Ruhrose will pay you in FOB/DDP/CIF to you directly & will not be involved with any 3rd party payment at all.
- We pay for samples cost ( time to time), However if order is move than 100pcs per style per colour and sample cost will be deduct from bulk amount.
- If sample are on-time and liked by buyer, we place the order with you. if sample are nice as requirement & TP but not liked or booked the order by buyer, Ruhrose Ltd will pay the sample cost as agreed.
- In case of Sample are made wrongly and have major mistakes that we can’t send to buyer, there will be no payment of that sample.
- Courier cost will be provided by factory/ruhrose Ltd depending on agreement.
Invoicing:
- It is factory responsibility to check all details mentioned in TP, design requests, details mentioned in email, WhatsApp, size range, styling, trims, tags, labels, quantity ration, fabric quality, artwork details, overheads, conveniences, your profit margin etc. so closely before you offer & accept any price. Once price are agreed, Ruhrose will not allow to increase cost without any major changes from buyer side. Remember, based on your price , we do confirm final price with buyer. So don’t do mistake on costing, it will hurt you financially.
- Proper invoicing is the key to any business growth, submitting on time invoice will help us to release the payment quickly.
Before sending sample to us:
- Send enough Photos & Videos of the process and final samples- total picture
- Take artwork layout/trims/component approval
- Create spec and send for approval
- Close up- photos with each details
- Measurements & inspection reports
- 1 Min video on wearing someone if possible
- Allow 24H for buyer approval
- Proper hangtag must be written with ref , fabric and other info
What Do You Need To Submit Before Shipment?
- Shipment samples from 1st run production in size M & L one of each to buyer destination
- Enough Photos & Videos of the productions- total picture
- Size wise final Quantity
- Front & back flat photos
- Close up- photos of each details
- Measurements & inspection reports
- 1 Min video on wearing someone
- Allow 24H for buyer approval
After Shipment- Quality Issue
Quality can go wrong in our manufacturing business, we expect you to transparent as much as possible and share any quality issue before shipment so it can be rectified or remake before shipment. shipping is costly & wrong shipment will hurt everyone in the supply chain, so some commitment on quality issue and guarantee on correct shipment will help all our business partners.
We do not expect any quality issue after buyer received the goods, However if any logical claim from buyer, factory needs to bear all financial consequences.
Solutions can be like below
- Factory need to refund Full FOB+Courier cost ( Ruhrose will loose the profit here)
- Or, you might get 5-80% discount on total FOB+Courier cost value
- Or, remake the rejected quantity and send to buyer at factory’s cost- remake+courier
- Or, Bear the cost of any reprocess need to done at buyer destinations, like labelling, cleaning, barcoding, etc…
- Or, any other consequences, money claim will be pass to factory to pay.. Like sales loss, reputation loss, etc..
Flexibility From Us
- Fabric: accept alternative option in sampling/costing
- Quantity can be +/- 5% which is acceptable
- Sometimes we can approve trims, tags, labels etc. approval via video/Photo
- Sometimes repeat style samples approval via video/photo
Non- discloser Agreement
Copyright ,business strategy & inside data are key asset for any business. We expect you to not share any files, design concept, Tech Packs, buyer name, email, phone etc. to any 3rd party people who are not directly related to our supply chain.
Delay Shipment
We never expect you to send goods after your agreed deadline, however in manufacturing business, it can be happened and delay shipment is common in our industry. Buyers do all their sales plan according to your agreed date & spend money on marketing, sales, some buyers do pre-sell too, so delay shipment will hurt them financially & brand reputation as lot, so to cover the cost, you need to respect 1% penalty fee per day on total FOB & the amount will be deducted from final payment or adjust in future payment.
Towards Digital
- Continuous sharing of video- production/sampling process for buyers approval/social media uses.
- Use of photos- share Photo’s as much as possible for approval, status update etc.
- Use of YouTube- you might need to upload some videos in our YouTube channel
- Use of Ruhrose Ltd – News- Manufacturing guide to follow
